Today we’re sharing a few things we’ve learned about time management and how you can maximize your day with the important things, including family, business, self-care, and anything else that gives you energy.

1. Balance work and life

Managing your time effectively starts with acknowledging that perfect balance is a myth. The key is flexibility and constant adjustment. Here's how to make the most of your time:

It starts with prioritizing your tasks

Start your day by listing all the tasks you need to get done and prioritize them based on urgency and importance. This is where the Eisenhower Matrix can be useful. It helps you categorize tasks into four quadrants: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important.

Here is an example of how to use it: If you have a pressing client deadline (urgent and important), it should be at the top of your list, whereas organizing your workspace (important but not urgent) can be scheduled for later.

What you can do to set yourself up for success: Spend 10 minutes each evening planning the next day. This not only helps you start your day with a clear plan but also reduces morning stress.

Create a flexible schedule

Instead of a rigid timetable, create a flexible schedule that incorporates all aspects of your life. Tools like Google Calendar can help you block out time for different types of activities or meetings, but be sure to leave some buffer periods for unexpected tasks and breaks.

Here is one way to tackle that: Schedule work on your side hustle early in the morning or late at night when there are fewer distractions, and make sure that you make time for your family and friends whenever possible. 

Accept imperfection

Understand that there will be days when things don’t go as planned. Accepting that perfect balance is not realistic can relieve a lot of pressure and stress, especially with other life and family events happening. 

If you have a family emergency and it necessitates a “detour” from your schedule, it’s okay. Don't be hard on yourself; be flexible and understand that this happens to everyone. 

Pro Tip: One thing we recommend is scheduling time to reflect on your day. Create a list of things that went well and what didn't, and adjust your plans for the next day and week accordingly.

2. Minimize context-switching

With our attention spans shrinking every day, a lot of people suffer from switching between different tasks and apps, which kills their productivity. Here’s how to minimize it:

Batch similar tasks

Group similar tasks together to avoid switching from one thing to another. For example, dedicate specific times for answering emails, making phone calls, or doing creative work. Categorize your work and tackle relevant tasks together to build focus and momentum.

Here’s what you can do: Set aside one hour in the morning and one in the afternoon for email responses rather than sporadically checking and replying throughout the day. We’re all receiving a bunch of emails that are completely irrelevant. Don’t let them become a throughout-the-day time suck.

Quick Tip: Use a tool like Trello to create task boards where you can batch similar activities and track your progress in one place.

Focus on one project at a time

Use techniques like the Pomodoro Technique, which involves working in focused intervals (usually 25 minutes) followed by short breaks. This method can significantly improve your focus and productivity by reducing the mental load of constantly switching tasks.

Example: Dedicate a Pomodoro session solely to brainstorming ideas for your side hustle, then take a 5-minute break before moving on to another task.

    Use Todoist to create daily and weekly task lists. The app's Priority feature lets you highlight your most important tasks, ensuring they get done first.

  • Trello: A visual tool that organizes your projects into boards, it gives you a clear picture of what needs to be done. Trello's card system allows you to break projects into smaller tasks.

    Create separate boards for different aspects of your life, such as work, side hustle, and personal tasks. This will be a productivity game changer for you.

  • Toggl: A time tracking tool that helps you understand how you spend your time and identify areas for improvement. Toggl's reports can give you insights into your productivity patterns.

Usage Tip: Track the time you spend on different tasks and analyze the data to find out where you can be more efficient. This can help you optimize your schedule.

4. Be inspired by real-life examples

Hearing how others manage their time can be motivating and provide practical ideas you can adapt to your own life. 

Here are some real-life examples of entrepreneurs who are winning the time management game:

Example 1: Sarah, a freelance graphic designer

Sarah juggles her full-time job, freelance graphic design projects, and family responsibilities. She uses the following strategies:

  • Early morning productivity: Sarah wakes up at 5 AM to work on freelance projects for 2 hours before her day job starts. This quiet time allows her to focus without distractions.

  • Batching tasks: She batches similar tasks together. For example, she dedicates Mondays and Thursdays to client communications and Tuesdays and Wednesdays to design work.

  • Using tools: Sarah uses Asana to keep track of her projects and deadlines and Toggl to track her time spent on each task.

Learn to say no

One of the hardest yet most important skills is learning to say no. Everything sounds great in the moment, but 90% of the time, we’re taking on more than we can handle. We are overcommitting constantly, which is a direct path to burnout and reduced productivity. Focus on tasks that align with your goals and delegate or decline the rest.

A good way to handle that? If you're asked to take on a new project that doesn't fit with your current priorities, politely decline and explain your current commitments.

Practice self-care

Taking care of yourself is crucial for maintaining productivity. Ensure you get enough sleep, exercise regularly, and take breaks to recharge. 

Schedule short breaks throughout your day to stretch, take a walk, or simply relax. Use apps like Headspace for guided meditation sessions.

Continuous learning

Stay open to learning new time management techniques and tools. What works for you today might need adjustment as your responsibilities evolve.

Subscribe and follow a few productivity blogs, read books on time management, and attend workshops or webinars. Sites like Coursera offer courses on productivity and time management that could inspire even more confidence as you plan your days.
